After the run: what you owe and when

Payroll creates tax debts as you go. The Payroll tab shows what you owe, by agency, and when it's due — so EFTPS and your state never surprise you.

  1. Reopen a run's registerBooks & Payroll → Payroll → click a row in the Pay runs table. The Employer burden line shows your side: the Social Security and Medicare match, FUTA, SUI, and the run's total cost.
  2. Watch the quarter totalAbove the Pay runs table, a line reads "Q# YYYY taxes owed: $X" — the tax liability accrued so far this quarter, running as you go.
  3. Archive the quarterly reportIn the "Report archive" card, under "Quarterly liabilities," enter the Year and Quarter and click "Archive."
  4. Open and keep itThe archived report gets a "view / print" link — a frozen Tax Liabilities report you can Print → Save as PDF for your records.
  5. Read it in plain EnglishRows are by Agency and type. IRS rows are federal income tax withheld plus FICA — reported on Form 941 (or 943 for agricultural employers) and paid through EFTPS. NCDOR / VA Tax rows are state income tax withheld. NC DES and VEC rows are state unemployment. FUTA shows year-to-date and is annual (Form 940). None of it is a new bill — it's money already set aside from payroll.
  6. Archive run registers tooSame card: pick a run under "Payroll register (by run)" and click "Archive" for a dated copy.
  7. Check the deposit calendarThe "Deposit obligations" card lists Upcoming and Past deposits with due date, agency, type, and amount, and how many pay runs feed each one.
  8. Mind the IRS cadence suggestionThe line "Lookback: $X → IRS recommends monthly / semi-weekly" is a computed suggestion from your lookback period — it never changes your setting by itself.
  9. Set your deposit cadencesAdmins pick Federal, NC, and VA cadence from the dropdowns and click "Save cadences" — that drives which due dates appear going forward.
